How SimVS collects, uses, shares, and protects information across our website, Portal, and customer services.

This Policy should be read with the SimVS Portal Terms and, where applicable, the SimVS Care Service Terms.

1. Scope and who we are

This Privacy Policy describes how Hudson Simulation Services, LLC, doing business as SimVS (collectively, “SimVS,” “we,” “us,” or “our”), handles information in connection with simvs.com, the SimVS Portal, quotes, orders, customer support, and related services (collectively, the “Services”).

When an organization provides the Services to its users, that organization may control its users' accounts and Customer Content. This Policy does not describe the organization's own privacy practices.

2. Information we collect

Depending on how you use the Services, we may collect:

  • Contact and account information, such as name, organization, title, email address, telephone number, shipping address, account credentials, and account role.
  • Quote, order, and support information, including requested products, purchasing and billing details, transaction records, support communications, and service history.
  • Portal content and settings, including scenarios, prompts, drug-library settings, configurations, files, and other content submitted by or for a customer (“Customer Content”).
  • Usage and device information, such as pages and features used, dates and times of access, browser and device type, IP address, diagnostic information, and cookie or analytics identifiers.
  • Information from authorized sources, such as a customer administrator, distributor, or integration that is authorized to provide information to us.

3. How we use information

We use information to:

  • provide, administer, maintain, and improve the Services;
  • create and manage accounts and customer configurations;
  • prepare quotes, process orders, ship products, invoice customers, and provide support;
  • authenticate users, investigate misuse, protect security, and prevent fraud;
  • analyze performance and feature usage and develop new functionality;
  • communicate about transactions, service changes, security, and requested information;
  • send product or educational communications where permitted, subject to your choices; and
  • comply with law and enforce our agreements.

4. Customer Content and AI features

Customer Content remains subject to the rights and responsibilities in the SimVS Portal Terms. We use Customer Content to provide, secure, support, and improve the Services for the customer and as otherwise directed or authorized by the customer.

We will not use identifiable Customer Content to train a generalized artificial-intelligence model without the customer's express opt-in. If a Portal feature uses a third-party AI provider, that provider may process the submitted content to return the requested output under its agreement with us. We will identify material additional terms or choices when appropriate.

5. Patient and other sensitive information

The Portal is intended for simulation and education and is not designed to store live patient records. Do not submit protected health information or other regulated clinical data unless SimVS has expressly agreed in writing that a particular Service may receive it and any required agreement is in place. Use fictional or de-identified simulation data whenever possible.

Customers are responsible for deciding what their users may submit and for obtaining any permissions required for that information.

6. How we share information

We do not sell or rent personal information. We may share information:

  • with vendors that help us host, secure, analyze, communicate, fulfill orders, and provide the Services, only for those business purposes;
  • with a customer's authorized administrators, distributors, or integration providers as needed to serve that customer;
  • when you direct us or consent to the sharing;
  • when reasonably necessary to comply with law, legal process, or valid government requests; protect rights, safety, and security; or investigate misuse; and
  • in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections.

7. Cookies and analytics

We and our service providers may use cookies and similar technologies that are necessary to operate the Services, remember preferences, understand usage, measure performance, and protect security. Browser controls can block or delete cookies, but doing so may prevent parts of the Services from working correctly.

8. Retention

We retain information for as long as reasonably necessary to provide the Services, maintain business and transaction records, comply with legal obligations, resolve disputes, and enforce agreements. Retention varies based on the information, the customer relationship, configured settings, and legal requirements. Backup copies may remain for a limited period after deletion.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No transmission or storage method is completely secure, so we cannot guarantee absolute security. Customers and users are responsible for protecting credentials, limiting access appropriately, and promptly notifying us of suspected unauthorized access.

10. Your choices and rights

You may unsubscribe from marketing emails through the link in the message. We may still send transactional, support, security, and other service-related communications.

Depending on where you live, you may have rights to request access to, correction of, or deletion of certain personal information, or to object to or restrict certain processing. Contact us to make a request. We may need to verify your identity and may retain information where permitted or required by law. If your account is managed by an organization, submit account and Customer Content requests to that organization first.

11. Children and international use

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 without appropriate authorization. Educational institutions are responsible for determining whether and how students may use the Services and for obtaining required consent.

SimVS is based in the United States. If you use the Services from another country, information may be processed in the United States and other countries where we or our service providers operate, subject to applicable law.

12. Policy updates and contact

We may update this Policy as the Services and applicable requirements change. We will post the updated version and effective date and provide additional notice when required. Material changes apply prospectively unless otherwise required by law.
